Every department, its own secure portal.
A career center, an academic department, an athletics office, any campus unit can run on its own inside StudentLife OS. Each one gets its own team, roles, opportunities, hiring, campus updates, and audit trail. The school keeps oversight and the ability to step in, but never reaches into a department’s private work.
A separate compartment
Not a folder inside the school. A portal of its own.
A department is not a row on the school’s team list. It is its own account, with its own sign-in, its own permissions, and its own private data. That separation is what lets a career center and an academic department each work the way it needs to, without stepping on each other or on the school office.
Its own sign-in
A department signs in through its own portal with its own credentials, completely separate from the school office.
Its own team and roles
The department lead invites their team and assigns scoped roles, so each member sees only what their job needs.
Its own record
A department keeps its own activity log and its own notifications, so its history is complete and its own.
Everything a department needs to run on its own.
A department portal is not a stripped-down view. It is the full toolset, scoped to the department, so a career center can recruit, announce, schedule, and report without waiting on anyone.
Its own hiring pipeline
Track every applicant from new to hired, run interviews, send offers, and keep a talent pool, separate from the school.
Its own opportunities
Post and manage jobs, internships, scholarships, programs, research, events, and more for the students it serves.
Campus updates
Reach its students with timely announcements. Followers are notified in their own inbox.
Career fairs and events
Host fairs, bring organizations to its students, and manage signups, check-in, and feedback.
A real-time inbox
Message students, organizations, and its own school, with typing indicators, read receipts, and reactions.
Forms, passes, and documents
Build application forms, gate opportunities with passes, and manage documents securely.
Its own analytics
Engagement, hiring funnel, employer activity, and k-anonymized DEI insights, scoped to the department.
Team and roles
Invite team members, assign scoped permissions, and secure every seat with multi-factor authentication.
Oversight without overreach.
A school stays accountable for what happens under its name, so it can see what its departments are doing and can step in when it must. But oversight is not the same as control. The line between the two is enforced in the software, not left to a policy nobody checks.
The school can
- See a department’s activity in a read-only oversight window
- Cancel a campus update a department has published, with a reason on the record
- Suspend a department, or terminate it entirely, when it needs to
The school cannot
- Post opportunities or campus updates in a department’s name
- Edit a department’s profile or its settings
- Read a department’s direct messages or its private notes
- Reach into a department’s hiring decisions or applicant data
Secure by design
Isolation you can rely on.
The separation between a school, a department, and a sibling department is built into how the platform authenticates every request, not bolted on after the fact.
A true compartment
A department has its own cookies and its own resolver. A school session physically cannot call a department’s private routes, and one department can never see another’s. Isolation is structural, not a hidden setting.
Domain-matched invites
Every invite a department sends is locked to the same verified school domain the school used at sign-up. There is no override, so a department can only build a team from its own institution.
Multi-factor by default
A department lead must enroll in multi-factor authentication before the portal unlocks. New devices always re-verify, so a stolen password alone is never enough.
Cascade lock
If a school is suspended or closed, every department under it locks automatically. The lock is computed live, never copied onto a child record, so it can never drift out of sync.
Questions schools and departments ask.
What counts as a department?+
Any campus unit a school wants to run on its own. That includes career centers, academic departments, colleges within a university, athletics offices, alumni or advancement offices, and student services. Each one gets the same full portal, scoped to itself.
How is a department different from a school team member?+
A team member is a seat inside the school office and shares the school’s data. A department is a separate account with its own portal, its own sign-in, its own private data, and its own audit trail. A department lead is not on the school’s team list; they run their own compartment.
Can the school see what a department is doing?+
Yes, in a read-only oversight window. The school can see a department’s activity and step in when it must, but it cannot post in a department’s name, edit its profile, read its direct messages, or reach into its hiring. Oversight and control are deliberately kept separate.
What can the school actually do to a department?+
Two things beyond viewing. The school can cancel a campus update a department published, with a reason kept on the record, and it can suspend or terminate a department. Terminating locks the department down and moves its opportunities and updates to a closed state, but the record is kept for accountability rather than deleted.
Who can a department invite to its team?+
Only people at the same institution. Every department invite is locked to the same verified school domain the school used at sign-up, with no override, so a department can only build a team from its own school.
Do departments cost extra?+
No. Departments are included in a school’s plan at no additional cost. A school can create as many departments as it needs during and after its free trial.
What happens to departments if the school’s plan lapses?+
Access pauses rather than disappears. If a school does not renew, its departments and their teams see a message to reach out to the school owner, and the department portals lock until the plan is active again. Nothing is deleted, so everything is exactly where it was when access is restored.
